01What we collect
Your email, the details you give us, your recordings and answers, and payment records. Never your card number.
When you use VisaRoom we collect the following.
- AccountEmail, name (optional) and your visa type.
- Your detailsWhat you tell us during set-up, such as your degree, university, funding or marriage date.
- DocumentsFiles you upload. We read them, keep the details we need, and delete the files straight away.
- InterviewsVoice recordings, transcripts and scores.
- PaymentsWhat you bought and when. Flutterwave handles your card. We never see the card number.
- Device and usageBasic information about your browser and how you use the site, if you accept analytics cookies.
02Why we use it
To run your practice interviews, choose your questions, give feedback, take payment and stop fraud.
We use your information to run practice interviews, choose questions that fit your plans, write your feedback, process payments and prevent abuse of free interviews and referrals. We do not sell your information.
03How long we keep it
Documents: deleted right after reading. Recordings: 90 days. Everything else: until you delete your account.
We keep information only as long as we need it.

04Who processes it for us
A few named companies help us run VisaRoom. None of them is an embassy or government.
These companies process information on our behalf, under contract.
Answers on the free Ask page can be shared publicly by link. Don’t type passport or ID numbers there.
- DeepgramTurns your spoken answers into text, and reads the officer’s questions aloud as a backup.
- OpenAIReads your uploaded documents to pick out your details, reads the officer’s questions aloud, turns speech into text when Deepgram is unavailable, and helps write your feedback.
- OpenRouterPowers the free Ask feature.
- CloudflareStores files, including recordings.
- NeonHosts our database.
- FlutterwaveTakes payments.
- ResendSends our emails.
- PostHogAnalytics, only if you accept analytics cookies.
05Your rights
You can see, correct or delete your information, object to how we use it, and complain to the regulator.
Under the Nigeria Data Protection Act 2023 and, where it applies, the GDPR, you have the right to access, correct and delete your information, to object to how we use it, and to complain to the Nigeria Data Protection Commission or your local regulator.
